What is the duplicate review module for?

The duplicate review module ensures your data quality by automatically detecting similar leads before import. No more duplicates cluttering your database. πŸ™Œ

At ZELIQ, we promote quality and efficiency. We want your work tools to be clean, without duplicates, and we definitely don't want to create duplicates in your ZELIQ workspace or your CRM!

Where to find the review module?

The module is available everywhere you import leads:

  • Enrichment Hub

  • Sequences

  • All leads

❌ Exception: It doesn't appear when you select "Contacts" as a source because these contacts are already in your workspace.

The review portal

Before accessing the detailed review interface, you go through a portal that summarizes your import status and gives you an overview of detected duplicates.

How does it work?

Import file

Start by importing your leads into the Enrichment Hub, Sequences, or All leads.

Automatic detection

When you import leads, ZELIQ compares each line with:

  • Your existing database

  • Your HubSpot CRM (if connected)

  • Archived leads

  • Leads you already imported/enriched through the Hub.

The review portal gives you instant clarity:

  • Ready to import (5) - Leads that will be added to your workspace once you validate the import

  • Potential duplicates (4) - Similar leads already in your database or CRM that need your decision to avoid creating duplicates

  • Safe to import (1) - Clean leads with zero duplicate risk that will be imported without any conflict.

This overview helps you understand exactly what's happening with your data before making any decisions.

Analysis criteria for contacts

Information analyzed to identify duplicates:

  • First and last names

  • Company

  • LinkedIn URL

  • Email

  • Phone number

If exact match on name + first name + company: 100% Match

Otherwise, the system also analyzes LinkedIn, email, and phone.

Intelligent scoring system

Display scale: 0% to 100%, in 5% increments

Quick interpretation:

  • 90–100%: high probability of duplicate

  • 60–89%: potential duplicate

  • 0–59%: low probability

Detailed scoring for contacts

  • Full name + Company: +20 if match, βˆ’10 if no match

  • LinkedIn: +60 if match, βˆ’30 if no match

  • Email: +60 if match, βˆ’30 if no match

  • Phone: +60 if match, βˆ’30 if no match

  • Bonus: +20 if at least 2 criteria match

Examples:

  • Contact with name+company, LinkedIn, email, and phone matching: 100%

  • Contact with LinkedIn and email matching, but different name: ~65%

Detailed scoring for companies

  • Name: +20 if match, βˆ’10 if no match

  • LinkedIn: +60 if match, βˆ’30 if no match

  • Domain: +60 if match, βˆ’60 if no match

  • Bonus: +20 if at least 2 criteria match

Example: Company with domain + LinkedIn + name: 100%

Once your file is pre-imported, you can choose to:

  • ⚠️ Check detected similar prospects (1)

  • βœ… Review leads ready to be imported (2)

  • Continue by automatically removing potential duplicates from your import (3)

By clicking "Check detected similar prospects", you'll be redirected to this page πŸ‘‡

  • On the left side of your screen (1), click on the first and last name of the prospect you want to import.

  • On the right, you must then choose to:

    • Create a new contact (2)

    • Or associate the contact from your file with the existing contact in ZELIQ (3)

You can select the prospects you don't want to import and click "Delete", then click "Continue" to validate your import.

πŸ’‘Tip: Whatever option you choose, you can always go back to the duplicate checking screen or the import screen.

Important rules

The module doesn't delete any data

⚠️ The review module doesn't delete ANY data and doesn't merge anything.

It allows users who want to import a contact that already exists in ZELIQ to avoid doing so by choosing the existing contact.

If you want to create the contact even though one or more similar contacts already exist in ZELIQ, you can do so. πŸ‘

Complex case: contact AND company duplicate

If you have a potential duplicate on both contact and company (the most difficult screen), our recommendation: choose the 100% match.

No bulk matching

Bulk matching is not possible. If you have many leads that match, our recommendation: don't import the file.

Use cases - When the review module makes a difference

1. Preserve an ongoing deal

Situation: An SDR imports an account that an AE is currently signing in HubSpot. Before, they would launch parallel prospecting β†’ contact duplicate, lost client.

2. Maintain a complete history

Situation: You re-import a lead already enriched 6 months ago. Before, you would create a duplicate and lose context.
